How to Add a CALENDAR in ONENOTE Page Step by Step

A simple step-by-step guide for busy professionals

  • If you’ve used OneNote for a while, you might remember that older versions had ready-made calendar templates. Those are gone in the newer versions, which is frustrating when you just want a simple monthly view to track meetings, deadlines, or weekly priorities.

  • The good news: you can still build a clean, reusable calendar directly inside OneNote using only a table—and then save it as a template so you never have to rebuild it from scratch again.

  • This guide walks you through exactly how to do that.

Why build your own calendar in OneNote?

  • Works in corporate environments (no add-ins or extra tools needed).

  • Stays fully editable—you can type, tag, and highlight directly in each day.

  • Once you save it as a template, creating a new month is just a couple of clicks.


Step 1 – Create a new page in the right section

  1. Open OneNote (desktop version).

  2. Go to the notebook and section where you want your calendar to live.

    • Example: 2025 Planner > Monthly.

  3. Click Add Page and give it a name like “January 2026 – Calendar”.

This will be the base page you turn into a reusable template.


Step 2 – Insert a base calendar table

  1. On the ribbon, go to Insert > Table.

  2. Drag to create a table with:

    • 7 columns (one for each day of the week).

    • 5 or 6 rows (to cover all the weeks in most months).

  3. In the top row, type your weekday names:
    Monday | Tuesday | Wednesday | Thursday | Friday | Saturday | Sunday
    (Or Sunday first if that’s how you prefer your week to start.)

You now have a simple grid that will become your monthly calendar.

Step 3 – Add dates and space for each day

  1. Pick a month—for example, January 2026.

  2. In each cell, type the date number in the top-left corner of the cell (1, 2, 3, etc.), placing them on the correct weekday based on a calendar.

  3. Leave plenty of empty space in each cell so you can add tasks, events, or notes later.

Helpful tricks:

  • Alt + Enter

    • Press Alt + Enter inside a cell to add blank lines under the date.

    • This visually “expands” the cell so you have room for multiple notes.

  • Mark special days

    • For example, in the cell for January 1, you might type:
      1 – New Year’s Day

  • Add extra weeks if needed

    • If your month runs into a 6th week, place your cursor in the last cell of the table and press Tab.

    • OneNote will automatically add a new row to the table.

  • Expand a second row for notes

    • If you like to keep daily notes for each week, you can:

      • Add a second row underneath each “week row”.

      • Use Alt + Enter to create more vertical space in those “notes rows”.

      • Use them for things like “Weekly Goals” or “Key Meetings”.

Now you have a working calendar layout with dates and enough room to write.


Step 4 – Format the calendar for readability

A bit of formatting makes your calendar much easier to scan.

Ideas:

  • Widen columns

    • Hover over the right edge of a column and drag to make it wider.

    • Make sure there’s enough space to write short notes for each day.

  • Style the header

    • Select the weekday row.

    • Make it bold and maybe slightly larger.

    • Optionally apply shading to the header row using the Table > Shading option.

  • Highlight weekends

    • Shade Saturday and Sunday columns in a light color.

    • This helps your eyes quickly separate workdays from non-workdays.

  • Adjust borders

    • Use the Table > Borders options to make lines darker or lighter, depending on your preference.

You’re aiming for something that is simple, clean, and easy to read at a glance.


Step 5 – Add “metadata” around the calendar

The calendar grid shows the days. The information around it makes the page actually useful for planning.

Above the table, you might add:

  • The month name: e.g., January 2026

  • A short section like:

    • Key Priorities This Month

    • Major Deadlines

    • Top 3 Goals

Below the table, you might add:

  • Notes / Follow-Ups – general notes that don’t fit on a specific day.

  • Waiting On – people or items you’re waiting for this month.

  • Next Month Preview – things you need to remember for the following month.

This turns the page into a mini command center for your month, not just a static grid.


Step 6 – Save the page as a reusable OneNote template

Now that you’ve built a calendar you like, turn it into a template so you don’t rebuild it each month.

Note: This works in the desktop version of OneNote that supports templates (OneNote 2016 / Microsoft 365).

  1. Go to Insert > Page Templates > Page Templates…
    (A Templates pane will open on the right.)

  2. At the bottom of that pane, click “Save current page as a template”.

  3. Give your template a clear name, such as:

    • Monthly Calendar – Clean

    • Monthly Calendar – Monday Start

  4. (Optional) If you want every new page in this section to use this design, set it as the default template for this section in the same pane.

From now on, your calendar design is just a couple of clicks away.


Step 7 – Use the template each month

When a new month is coming up:

  1. Add a new page to your planner section.

  2. Apply your saved calendar template.

  3. Rename the page, for example:

    • February 2026 – Calendar

  4. Update the date numbers for that month (this is the only manual part).

  5. Add your priorities, meetings, and deadlines.

This keeps your monthly planning consistent, while avoiding the time-consuming process of rebuilding the entire table every time.


Final thoughts

Microsoft may have removed the old calendar templates from OneNote, but with one well-designed table and a saved template, you can:

  • Have a visual monthly overview directly inside your notes.

  • Keep everything editable and flexible for your workflow.

  • Reuse the same layout for every month with just a few clicks.

Once you set this up once, adding a calendar to a OneNote page becomes a quick, repeatable process—perfect for knowledge workers and business professionals who want to stay organized without juggling yet another separate calendar tool.
